Job Description

Senior Mechanical Construction Scheduler & Claims Avoidance Specialist

Are you a dedicated construction scheduling professional that is looking to advance their career with Helm? We are looking for an innovative scheduling professional to establish and lead a new Scheduling & Claims Mitigation Department. This role demands expertise in critical path method (CPM) scheduling, mechanical system installation sequences, and proactive schedule risk analysis to minimize disputes. The successful candidate will initially provide centralized scheduling support across multiple large projects while developing protocols to prevent claims through schedule integrity – ultimately building a team to serve 80% of our $200M+ annual project portfolio.

This position will initially be housed in our national mechanical division which is responsible for the HVAC, Plumbing, and Piping scopes of work for new construction projects as well as remodel work in buildings such as mission critical facilities, hospitals and associated healthcare buildings, high-rise buildings, athletic stadiums, and other commercial building types located throughout the Midwest. This role will be based in our Westmont, IL office.

Skills / Responsibilities:

  • Critical path schedule development and maintenance – using Primavera P6 scheduling software you will create resource-loaded critical path method (CPM) schedules for complex mechanical projects including HVAC, process piping, and industrial systems which includes:
  • Conducting constructability reviews of mechanical sequences with Foremen and engineers to validate activity durations
  • Analyzing schedules provided to us by clients and/or General Contractors for viability of sequencing operations in the goal of identifying errors and bottlenecks
  • Modeling parallel workstreams for sheet metal, plumbing, and equipment installation while respecting union jurisdictional boundaries
  • Integrating procurement timelines for specialty valves, chillers, and other equipment into the P6 schedule
  • Integrating Building Information Modeling (BIM) workflows as well as prefabrication processes into the P6 schedule
  • Developing standardized WBS templates for mechanical projects
  • Establishing earned value metrics to track piping spool installation rates against labor hours
  • Claims avoidance through schedule analysis – you will implement proactive measures to prevent disputes by:
  • Performing weekly schedule variance analyses comparing planned vs. actual mechanical completion percentages
  • Documenting root causes of delays using time impact analysis (TIA) methodologies for RFI responses and change orders
  • Maintaining a risk register tracking latent conditions like delayed equipment deliveries or design conflicts in mechanical rooms
  • Conducting monthly schedule audits to ensure compliance with ASTM E2691-22 Standards for construction schedules
  • Implement schedule risk assessment toolkits using Monte Carlo simulations
  • Cross functional collaboration – serve as a scheduling liaison between:
  • Project Managers to align mechanical milestones with other trades
  • VDC Managers to align required BIM work on projects
  • Prefabrication shops to synchronize ductwork/piping/module production with field needs and delivery requirements
  • Union dispatchers to forecast pipefitter/plumber/sheet metal manpower requirements
  • Owner Representatives during schedule review meetings
  • Develop training modules for superintendents on schedule compliance

Requirements:

  • Bachelor’s degree in engineering, construction management, finance, or other related degrees
  • Minimum of at least 7+ years scheduling mechanical construction projects exceeding $10 million in value
  • Expert proficiency in Primavera P6 software with a portfolio demonstrating:
  • Working knowledge of:
  • Professional certification(s) such as PMP, PSP, or CCM preferred
