Our client is looking to hire a Personal Assistant that will be supporting both the Chief Executive Officer and the Chief Creative Officer.
Responsibilities:
Manage and maintain daily calendar, including scheduling appointments, meetings, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Coordinate and facilitate meetings, conferences, and events.
Handle confidential information with discretion and maintain strict confidentiality.
Prioritize and manage multiple projects simultaneously.
Assist with administrative tasks including, but not limited to scheduling appointments, running errands, taking notes in meetings, answering phones, copywriting, photocopying, managing contact database.
Interact positively with others and maintain relationships both internally and externally.
Arrange travel and accommodation and create comprehensive and detailed itineraries.
Accompanying principal to business meetings, dinners, special events, and appointments.
Assist with property management needs for owned properties.
Personal gift shopping & thank you note writing.
Assisting with Family coordination.
Requirements:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Knowledge of DocuSign or similar electronic signature software for document management
Strong organizational skills with the ability to prioritize tasks and meet deadlines
Excellent written and verbal communication skills
Detailed oriented, organized, and proactive
Ability to work independently with minimal supervision
Professional demeanor with the ability to interact with all levels of the organization
Team player with strong interpersonal skills
Solid ability to multitask in a fast-paced environment
Demonstrates flexibility, common sense, discretion, and trustworthiness
Ability to handle sensitive information with high level of confidentiality
Qualifications:
Education: Bachelor’s degree preferred
Prior experience as a personal assistant preferred
