Job Overview:

The Front Desk Receptionist is the first point of contact for patients and visitors, playing a crucial role in creating a positive and welcoming experience. This position is responsible for efficiently and accurately receiving and routing patient traffic, managing communication flow, scheduling appointments, processing sales transactions, and providing administrative support. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a fast-paced environment, with a passion for helping people and a focus on providing exceptional customer service.

Responsibilities:

Patient Reception and Routing:

  • Greet all patients and visitors in a kind, courteous, and professional manner.
  • Efficiently and accurately direct patients to the appropriate areas or personnel.
  • Manage the flow of patient traffic in the clinic to ensure smooth operations.

Communication Management:

  • Manage a high volume of inbound and outbound calls, answering inquiries, providing information, and taking messages.
  • Handle incoming and outgoing mail and deliveries.

Appointment Scheduling:

  • Schedule patient appointments accurately and efficiently, optimizing provider schedules.
  • Confirm appointments and manage appointment changes or cancellations.

Sales Transactions and Payment Processing:

  • Process patient payments for services and products accurately.
  • Collect on accounts and manage billing inquiries.

Patient Relationship Management:

  • Recall patients and reactivate inactive patients to maintain engagement and adherence to care plans.
  • Maintain patient records and ensure accuracy of information.

Administrative Support:

  • Provide support to clinical and administrative staff as needed.
  • Maintain the reception area, ensuring it is clean, organized, and welcoming.
  • Demonstrate composure and professionalism when interacting with patients or other individuals who may be upset, frustrated, or impatient.

Qualifications:

  • Must be upbeat, outgoing, have high energy, maintain a positive attitude, and be a team player!
  • High school diploma or equivalent.
  • Proven experience in a receptionist, administrative assistant, or customer service role, preferably in a medical or healthcare setting.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in computer skills, including scheduling software and Electronic Health Records (EHR) systems.
  • Ability to handle cash and process payments accurately.
  • Positive attitude, high energy, and a team player.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.
