Job Description

Vaco Phoenix is currently assisting a top client in their search for a Contract Office Administrator in Chandler, AZ! The Office Administrator will sit in the reception area and have contact with customers, C Suite Leaders and board members. This person must have at least 2 years of office administrative experience as well as strong communication, interpersonal, and organizational skills. This is a contract position that is fully onsite. Pay is based on experience and interviews are being held this week!

Responsibilities include:

• Anticipate the needs of the leadership team and handle sensitive information with a high level of discretion and confidentiality
• Maintain cleanliness and organization in common areas, including the breakroom; duties include brewing coffee, sanitizing surfaces, and unloading the dishwasher
• Coordinate meetings and company events, manage executive calendars, and support general office and facilities operations
• Monitor and replenish office supplies across shared spaces and the supply room; place orders with vendors as needed
• Support team meetings, interviews, and events by printing materials, coordinating catering, and preparing conference rooms-ensuring A/V equipment functions properly and spaces are tidy before and after use
• Respond promptly to requests; develop administrative checklists, vendor directories, and inventory logs while recommending process improvements
• Collaborate with all departments to assist with special projects, data entry, filing, scanning, reporting, organizing, and planning activities

Knowledge, Skills & Abilities:

• 2+ years of experience
• Strong communication skills

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting.
