Job Overview
We are seeking a detail-oriented and organized Records Clerk / Court Clerk to support the Signal Mountain Police Department. Employee is responsible for processing and managing police records within the department’s records management system, including the review and approval of records and ensuring departmental compliance with Tennessee Bureau of Investigation (TBI) requirements. The position also performs administrative duties for the Signal Mountain Municipal Court and other related responsibilities as assigned. This position operates under the direct supervision of the Police Chief.

Responsibilities

  • Accurately format, approve, prepare, proof read, edit and distribute correspondence, reports forms and other documents.
  • Prepare Monthly Statistics Reports
  • Review and classify incident reports and enter into police record, TIBRS System.
  • Ensure the department is compliant with police records system regulations, including NCIC, TCIC and TIBRS.
  • Validate records entered in NCIC system.
  • Remain TAC/ RAC Certified through the TBI
  • Report Data and Records to the State
  • Proficient in techical software programs including Records Management System, Court Software, Adobe, State reporting website and word processing software
  • Manage filing systems both electronically and physically to ensure easy retrieval of information
  • Handle open records requests from attorneys, court staff, and the public professionally
  • Process cash handling transactions related to court fees or fines accurately
  • Proficiency in typing data entry, scheduling, filing, preparing documenta and maintaining accurate records and reports.
  • Ensure compliance with court procedures and legal standards in recordkeeping practices

Qualifications

  • Proficiency in office software including Word processing and data entry applications
  • Excellent organizational skills with attention to detail for managing multiple files and records
  • Clerical experience demonstrating proficiency in filing, document management, and administrative support
  • Customer service experience to effectively communicate with internal teams and the public
  • Ability to handle cash transactions accurately when required
  • Familiarity with court procedures, previous court clerk or records clerk experience is a plus
