About the position:
The role of Office Manager encompasses leadership, decision making, and administrative responsibilities to enhance The Things We Do team’s efficiency while fostering a positive and uplifting environment. They will ensure all patients feel welcomed and accepted in The Things We Do healing space and collective staff members
Responsibilities:
1. Spa Operations Excellence: Take charge of all clinical and operational aspects of the spa, including provider scheduling, inventory, and clinic maintenance. Manage and supervise the team. Oversee the daily operations of the spa, ensuring smooth and efficient functioning. Monitor inventory levels and order supplies as needed.
2. Inspirational Team Leadership: Guide a team of skilled aesthetic professionals, including patient coordinators. Foster a collaborative environment, provide ongoing coaching, and nurture employee growth. Train and develop Patient Coordinator members to provide exceptional customer service.
3. Patient Satisfaction: Handle customer inquiries, complaints, and feedback in a professional and timely manner. Devise and implement strategies to attract and retain happy clients through feedback, Yelp and Google reviews. Communicate goals of completion with Patient Coordinators and patient incentives to publish reviews.
4. Network and Synergy: Cultivate relationships with local businesses, fostering partnerships to enhance the spa's offerings and reputation. Communicate with the marketing team for feedback regarding promotions, spa services, to increase brand awareness and successes.
5. Compliance and Quality: Ensure compliance with health, safety, and sanitation regulations, including HIPAA and infection control. Elevate patient safety and satisfaction from aesthetic providers, NP, and medical assistant communications. Conduct performance evaluations and provide constructive feedback to employees.

- Outstanding customer service skills with a focus on providing a positive experience for clients
- Ability to handle multiple tasks simultaneously while maintaining attention to detail, and a pleasant and professional demeanor
- Communicate with vendor representatives and discuss products, trainings, orders, or concerns
- Provide regular updates and recaps to the management team regarding staff performance, patient feedback or concerns, and any operational challenges.
