About Our Client:

Addison Group is partnering with a reputable nonprofit organization to find an International Programs Specialist to support global education initiatives. This is a contract-to-hire opportunity with long-term potential. The ideal candidate will bring international scheduling experience, excellent communication skills, and a proactive approach to global program coordination.

Job Description:

The International Programs Specialist will provide administrative and logistical support for international educational activities, exchanges, and events. This includes managing global travel schedules, coordinating with leadership, and supporting communication and operational needs for various international partnerships. This role requires a high degree of professionalism, attention to detail, and the ability to work cross-functionally with internal departments and international stakeholders.

Key Responsibilities:

  • Coordinate day-to-day logistics for international programs, including scheduling meetings, managing travel arrangements, and preparing supporting materials.
  • Support educational exchange and scholar travel programs, handling communications, applications, and travel logistics.
  • Serve as a liaison between departments and global partners, ensuring seamless execution of meetings, communications, and program timelines.
  • Maintain accurate records, track documentation, and prepare reports, agendas, and correspondence as needed.
  • Assist with event and meeting coordination, including onsite support during the annual conference and international society meetings.
  • Collaborate with marketing and member services teams to support program promotion and global engagement initiatives.
  • Manage administrative tasks such as invoice processing, visa documentation, reimbursements, and calendar coordination.

Qualifications:

  • 3–4 years of administrative or operations support experience, preferably with international program coordination.
  • Proven experience coordinating international travel (flights, accommodations, and visas).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills; ability to work with leadership and high-level stakeholders.
  • Bachelor's degree preferred but not required.
  • Experience supporting programs in international regions (specific countries or regions preferred).
  • Professionalism and cultural awareness when interacting with global partners.

Additional Details:

  • Type: Contract-to-Hire (true permanent need)
  • Start Date: ASAP or open to a 2-week notice period
  • Schedule: Monday–Friday, 8:30 AM – 5:30 PM
  • Hours/Week: 40 hours
  • Overtime Eligible: Possible, with prior approval
  • Interview Process:
  • First Round: Virtual with HR and Department Manager
  • Second Round: Onsite with full team
  • Background Check: Required (Criminal, Education)
