Job Description

Executive & Personal Assistant to CEO – Prestigious Real Estate Firm

A premier real estate development firm is seeking a highly capable Executive & Personal Assistant to serve as the right hand to the CEO. This is a critical, high-exposure role for a proactive, detail-oriented, and solutions-driven professional who can seamlessly manage both executive and personal responsibilities. You will serve as a true gatekeeper and strategic partner, interfacing with high-profile stakeholders including board members, lobbyists, and community leaders. The ideal candidate thrives in a fast-paced environment, takes initiative, and operates with discretion and excellence.

Key Responsibilities:

  • Act as a strategic and administrative partner to the CEO, managing both professional and personal matters with utmost confidentiality.
  • Manage a high-volume, ever-changing Outlook calendar, coordinating complex meetings, appointments, and conference calls across multiple time zones.
  • Screen and prioritize incoming calls, emails, and requests.
  • Draft, edit, and proofread business correspondence, including emails, memos, and letters.
  • Maintain and update CRM with key contacts, relationships, and meeting activity.
  • Interface with high-level stakeholders including board members, lobbyists, marketing teams, and event coordinators.
  • Coordinate all aspects of travel arrangements, expense reports, and reconciliations.
  • Manage corporate and personal charitable commitments, special events, and board-related responsibilities.
  • Track critical dates related to both business and family obligations.
  • Obtain permits and handle sensitive documentation requiring CEO’s signature.
  • Perform ad hoc business and personal tasks to ensure smooth day-to-day operations.

Qualifications:

  • Bachelor’s degree required.
  • 3–5+ years of C-level executive support experience, preferably in commercial real estate, legal, finance, or a similarly fast-paced industry.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Strong writing, proofreading, and communication skills.
  • Professional demeanor with excellent interpersonal and relationship-building skills.
  • Meticulous attention to detail and highly organized.
  • Proven ability to multitask, prioritize, and maintain composure under pressure.
  • Self-starter with sound judgment and a high level of discretion.
