Temporary Executive Assistant

Location: On-site – Augusta, ME

Schedule: Full-time, Monday–Friday

Pay: Competitive | Based on experience

ProSearch is seeking a highly organized and professional Temporary Executive Assistant to provide direct support to the Chief Information Security Officer (CISO) and senior leadership within a dynamic Information Security Office (ISO). This role is perfect for someone who thrives in a fast-paced, high-impact environment, has a solid understanding of cybersecurity or IT operations, and is skilled at managing competing priorities with grace and discretion.

You’ll serve as the CISO’s right hand— owning calendar management, email triage, scheduling, meeting preparation, and overall executive coordination . This is more than just administrative support; it’s a strategic partner role requiring emotional intelligence, operational savvy, and absolute confidentiality.

What You’ll Be Doing

Strategic Support & Coordination

  • Serve as a proactive, trusted partner to the CISO and ISO leadership
  • Triage and manage inbox communications—sorting urgent vs. non-urgent items
  • Prioritize, organize, and manage tasks and commitments on behalf of leadership
  • Schedule meetings, manage calendars, and coordinate logistics for internal and external engagements
  • Take detailed notes during Microsoft Teams meetings and follow up on action items
  • Support the execution of short- and long-term projects across departments

Administrative Excellence

  • Organize and maintain executive-level documents, reports, and presentations
  • Draft internal communications, summaries, and briefings
  • Handle confidential and sensitive information with professionalism and discretion
  • Prepare meeting agendas, capture outcomes, and track follow-up tasks
  • Coordinate travel arrangements, authorizations, and expense reimbursements
  • Assist with procurement activities, invoice processing, and budget tracking

Required Experience

  • 3+ years of experience in a similar role supporting executive leadership
  • Proven track record of managing multiple priorities independently
  • Strong familiarity with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Experience drafting executive-level communications and organizing strategic documents

Preferred Qualifications

  • Understanding of cybersecurity environments, IT systems, or government operations
  • Experience supporting budget tracking, procurement processes, or policy documentation
  • Familiarity with state or public sector workflows and expectations
