LOCATION: This role is open in Dallas-Fort Worth, Texas, only.

Overview: 

The Event Operations Coordinator is a high-performing, well-organized individual who will assist in planning and executing events and projects under the direction of a Project Manager and/or Director of Operations. This position is primarily responsible for assisting with pre-event, on-site, and post-event tasks as assigned by the project lead.

To find success in this position, candidates must demonstrate the ability to effectively manage time, juggle multiple projects with concurrent deadlines, and communicate proactively with both internal and external partners. The Event Operations Coordinator must be able to quickly identify and adapt to challenges and have the ability to find answers and create solutions with limited direction.

What You’ll Do:

  • Assist in the development of event concepts and proposals for clients in a variety of industries, including but not limited to sales meetings, kickoffs, exhibits, and trade shows
  • Coordinate logistics for events, including, but not limited to, vendor management, registration, signage and branding, and on-site execution as assigned by the project lead
  • Prepare or assist with the preparation of event timelines and other client-facing tools and resources, meeting notes, and follow up 
  • Attend all client-facing meetings as deemed appropriate by the project lead
  • Support the project lead(s) throughout the event planning process and adjust as necessary to ensure successful completion
  • Work with the project lead to ensure that vendor proposals are within the scope of the budget, ensuring cost effectiveness and profitability
  • Create and maintain relationships with clients, vendors, and other stakeholders to ensure positive event experiences
  • Continuously gather feedback and makes improvements to enhance the overall event experience
  • Gather and organize event photos and videos, as requested by marketing or project lead
  • Perform other duties as assigned

  • Excellent communication and negotiation skills, both verbal and written
  • Strong attention to detail and ability to think creatively to find solutions to challenges
  • Strong organizational and time management skills
  • Able to work independently while being a team player
  • Must be able to travel to client sites, event locations, internal company meetings both domestically or internationally up to 20% of the time or more.
  • Working knowledge in Google Workspace, Smartsheet, Microsoft Office
  • Bachelor's degree in event management, hospitality management, or related field is preferred

Compensation

Salary Range: 

$40,000 - $55,000: Salary is dependent on a variety of factors including (but not limited to) experience and skills.
