As our business expands, we’re seeking an experienced Contract Manager to take the lead on contract strategy and lifecycle management—ensuring legal compliance, minimizing risk, and supporting company growth through strong cross-functional collaboration.

Role Overview:

As a Contract Manager at HaF Equipment, you will oversee all aspects of the contract lifecycle, from initial review and negotiation through execution, compliance, and performance tracking. You will act as the key liaison across departments—coordinating with Sales, Operations, Legal, and Purchasing—to align contracts with company objectives and safeguard against legal and operational risk. This position is ideal for a senior-level professional with sharp legal insight, excellent negotiation skills, and a proactive, solutions-driven mindset.

Key Responsibilities:

  • Review, draft, and negotiate a variety of contracts including purchase orders, NDAs, vendor and subcontractor agreements, and customer contracts.
  • Collaborate with internal departments to align contract terms with company goals, customer requirements, and legal compliance.
  • Lead strategy meetings with stakeholders and executive leadership to identify issues, set expectations, and develop risk mitigation strategies.
  • Act as the main facilitator and administrative contact during all contract negotiations with customers, subcontractors, and suppliers.
  • Conduct risk assessments on RFPs and supporting documentation to identify and address potential legal or compliance concerns.
  • Provide input on company-wide policies and standards related to contracting.
  • Coordinate with the Operations Analyst team to monitor subcontractor performance and issue notices as needed to preserve legal rights.
  • Maintain the contract repository and ensure accurate records of all contract documents, negotiations, and approvals.
  • Oversee insurance requirement processes and ensure compliance with relevant standards.

Accountabilities:

  • Analyze and negotiate terms from Sales and Operations, ensuring risk is identified, mitigated, and escalated when necessary.
  • Collaborate closely with Legal to define risk tolerance and implement contract language accordingly.
  • Ensure final agreements reflect internal alignment and have proper approvals prior to execution.
  • Maintain robust records of all contracts, communications, and negotiation stages.
  • Provide regular updates to stakeholders on contract status, risks, and approvals in progress.

Qualifications:

  • Bachelor’s degree in Business, Economics, Accounting, Mathematics, or a Law Degree—or equivalent experience such as a Paralegal background.
  • 7+ years of experience in contract or subcontract negotiation and management, preferably within construction or large capital projects.
  • Strong understanding of legal language, contract provisions, and insurance-related considerations.
  • Exceptional contract development and negotiation skills, with a focus on strategic risk management.
  • Excellent communication and collaboration skills with proven ability to navigate complex issues and drive results.
